Master Order Release
How and why to Release a Master Order
A Master Order cannot be shipped nor paid nor posted as these are orders that are generally considered to be 'tie-offs'. Master Orders are usually larger orders that get 'released' to multiple shipments.
Master Orders are 'RELEASED' to Sales Orders for shipping and invoicing.
Refer to the master order document for entering and allocating master orders.
Releasing a Master Order is done on the Master Order Form Detail tab while NOT in edit mode.
The RELEASE form opens and the release is created by entering the quantities to release to the sales order.
Save - Saving the Release will create a Sales Order with the number of the Master Order followed by the sequential number of the release. In the example above, the Release will be numbered 60-0003 identifying the sales order as the third release (0003) of master order 60.
A message appears stating the release was created and the release form resets to allow for another release by advancing the sales order number (60-0004) and changing the release column quantities to zero (0).
Save & Copy - The same as save except the release column quantities will stay. This is useful for creating multiple releases to a chain of garden centers or box stores nearly identical orders will be sent to each location.
Release All - Equivalent to Ship All on the Sales Order, this button will fill in the released quantity with the remaining quantity for every item.
Cancel - Closes the form with saving the work.
I Released an Order. Now What?
The release is a sales order that can now be shipped, posted, and paid. If you need to make changes to the release, you can edit it as you would any other sales order. The difference is that this order is linked to a master order so when you add new items you will only see a list of items that are on the master order. You can add any item from inventory by unchecking the filter box to 'display items on Master Order Only'. If you add or remove items that are on the master order, the Released and Remaining Quantity on the master order will change accordingly. If you add an item to the release that is not already on the master order it will display the idcode in red font as a visual indicator that this item is not on the master order. Making changes to this item will not affect the master order.
If the items were allocated on the master order they will be allocated on the sales order. Allocated items that get removed from a sales order will be allocated on the master order when they are put back. There is an option in the setup that can be turned off if you do not wish for sales order allocation to be moved to the master. Allocations made on the master will always get moved to the sales order.
